:: Overview ::
The successful candidate will provide administrative and confidential support to all Principals and practice management. You will have at least five years administrative experience and will manage all office functions in accordance with policies and procedures.

:: What You Will Do ::
-
General office responsibilities (reception, telephones, mail, e-mail, courier, fax, maintaining supplies)
-
Receives, screens and directs all telephone calls including responding directly to queries as necessary and within scope of knowledge and authority
-
Maintain accurate tracking and records of all events and programs, including all relevant company files and documents
-
Ensure optimum performance of office equipment (telephone system, photocopier, postage machine, fax, LCD)
-
Maintain custody of all marketing materials, ensuring the consistency of design and format is preserved and supplies are adequate at all times
-
Responsible for office security
-
Responsible for internal practice communication (announcements of new principals and contracts, special requests)
-
Administration of Recruiting Program (letters, interview scheduling, follow-up)
-
Provide administrative support for special events, Business Development meetings and other initiatives
-
Ensure all Reference Material is current
-
Provide research support for background information on prospects
-
Monitor sources on a regular basis to identify potential opportunities and events
-
Identify possible resources for finding new opportunities for the company and Principals
-
Provide administrative support to all Principals (Principal marketing initiatives, letters, information folders, forwarding messages, database entry)
-
Provide timely response for formatting, editing and delivery of Proposals
-
Maintain the integrity and accuracy of the input and output of the CRM (ACT!) program
:: What You Will Bring ::

College Diploma or equivalent work experience (minimum 5 years)
-
Ability to integrate administrative functions into one cohesive operation by setting priorities, removing obstacles and solving problems

Well developed time management skills

Ability to work effectively, autonomously and within a team

Ability to take initiative

Customer-oriented approach to people as front line contact for principals, suppliers and the public

Computer proficient in: Microsoft Office, Outlook, ACT!, Internet

Proficient in use and maintenance of standard office equipment (fax, photo copier, printers, etc.)
